Advancement Coordinator

Position Summary
Gulfshore Playhouse, a leading professional regional theatre in Southwest Florida, seeks a highly organized and detail-oriented Advancement Coordinator to support the daily operations of the Advancement Department. This role is essential in ensuring exceptional donor stewardship, accurate data management, and seamless coordination of fundraising and engagement activities that fuel our Annual Fund for Artistic Excellence and broader philanthropic efforts.
The ideal candidate is proactive, systems-driven, and passionate about the arts, with a commitment to delivering outstanding service to donors, sponsors, and patrons.
Key Responsibilities
Donor Services & Stewardship
● Generate and distribute timely and accurate tax acknowledgment letters ● Prepare and send donor thank-you correspondence
● Maintain and update donor profiles, ensuring complete and accurate records ● Support donor recognition efforts
● Track and maintain donor lists
● Assist with first-time donor engagement
Gift Processing & Database Management
● Process all incoming gifts in donor management system (Spektrix)
● Pull and analyze reports from Spektrix and iWave to support fundraising efforts ● Maintain database integrity
● Ensure all donor and sponsor information is current, complete, and accurate Administrative & Operational Support
● Coordinate Advancement team meetings, including scheduling, agenda preparation, and minutes distribution
● Assist with maintaining donor materials
● Coordinate greeting schedules for performances and special events
● Support tour scheduling and donor visit logistics
Corporate & Sponsorship Support
● Maintain and update sponsor lists and corporate benefit tracking sheets ● Coordinate corporate ticket allocations and usage
● Manage corporate advertising logistics, including communicating deadlines and specifications and liaising with the Marketing team
● Track and fulfill sponsor benefits to ensure a high level of stewardship
Qualifications & Skills
● 1–3 years of experience in nonprofit administration, fundraising, or a related field ● Strong organizational skills and exceptional attention to detail
● Experience working with CRM/database systems (Spektrix)
● Ability to manage multiple priorities and deadlines with accuracy
● Excellent written and verbal communication skills
● High level of discretion in handling confidential donor information
● Proficiency in Google Workspace (Excel, Word, PowerPoint)
● Collaborative, positive attitude with a commitment to excellent customer service
Preferred Attributes
● Interest in or passion for the performing arts
● Experience with donor research tools (iWave or similar)
● Ability to anticipate needs and proactively solve problems
● Strong interpersonal skills and comfort interacting with donors and stakeholders
